Frequently asked questions
Straight answers about how RunDesk works. Can't see yours? Ask us.
Does RunDesk work without phone signal?
Yes. Each phone, tablet or computer keeps a copy of your company's RunDesk data and a queue of changes. When there's no signal a "working offline" banner shows and people keep working; everything sends automatically when the connection is back. If two people changed the same job, RunDesk merges the changes field by field.
Don't sign out while changes are waiting to send — the banner tells you how many are waiting.
Where is our data stored?
Your company's records are stored in Australia, in our database provider Supabase's Sydney region. Each company can only ever see its own data — that's enforced by the database itself, not just the app. The website and app pages are delivered through Cloudflare's network. The privacy policy has the details, including overseas providers.
How are photos handled?
Photos taken in the app (bin placement, loads, damage, dockets) are compressed on the phone and stored in private storage, in a separate folder for each company. They're shown through links that expire, never public addresses. If you use the customer photo portal, a customer can see the photos for their own jobs only.
We run everything off a spreadsheet or whiteboard. How do we switch?
Most operators start with three things: bin sizes and prices, delivery zones, and staff logins. Customers can be added as they ring, or brought across from a spreadsheet — we'll help with that during your trial. You can run RunDesk alongside your old system for a week or two before you switch over.
Does it work with Xero?
RunDesk makes its own GST tax invoices, with your ABN and bank details, so you don't need accounting software to invoice. Office also has a "send to Xero" step for batches of invoices. The connection to your own Xero organisation is set up with you, so tell us you use Xero when you book a demo. MYOB isn't connected yet.
Can customers pay online?
The website booking widget is built to take card payments through your own payment provider, and Afterpay or Zip with Website Bookings Pro. Online payments are still being connected: until they're switched on for your company, online bookings arrive as requests with no payment taken, and you take payment as you do today. RunDesk never stores card numbers.
Is there a contract?
No lock-in contract. Pay monthly and cancel any time, or prepay a year and get 2 months free. There's no setup fee.
Can we cancel any time? What happens to our data?
Yes. Before you go you can export your records. After you leave, we delete your company's data within 90 days. Invoices are your business records — keep your own copies for the 5 years Australian tax law requires.
What support do we get?
Support comes from the people who built RunDesk in Newcastle, NSW. During your trial we'll help you set up bin sizes, zones and logins. Inside your company, your RunDesk admin (usually the owner or office manager) can reset passwords and change access. See Help & support.
What devices does it run on?
Any modern phone, tablet or computer with a web browser — Chrome, Safari or Edge. On phones you can add RunDesk to the home screen so it opens like an app; App Store and Google Play versions are on the way. Office is best on a computer or tablet; Driver, Yard and Workshop are made for phones.
What is the Claude connection?
Claude is an AI assistant made by Anthropic. If your company switches it on, staff can connect RunDesk to Claude and, for example, turn a screenshot of a customer's message into a booking, or ask for driver and revenue reports. Claude only sees what that person's own RunDesk login can see. It's optional. More about RunDesk in Claude.
Is RunDesk only for skip bins?
It's built around skip bin hire, but you set your own bin categories — hook-lift, front-lift, rear-lift and bulk haulage are common — and the yard, weighbridge and workshop apps suit general waste transport.
Who is behind RunDesk?
RunDesk was built inside a working skip bin business in Newcastle, NSW, to replace the whiteboard and spreadsheets. Newcastle Skip Co is the first operator running on it.
